Position Summary

We are seeking a driven and hands-on Operations Team Lead to oversee and guide a team of Operations Team Members. Reporting directly to the Operations Manager, this role offers the opportunity to shape a team, work with high-profile clients, and establish a long-term relationship with a company that values commitment and growth. The ideal candidate will actively participate in daily operational tasks, contributing directly to our operational workflows. This position demands a responsible and reliable individual who can monitor and handle urgent operational matters after hours and over weekends as needed.
Key Responsibilities
- Team Leadership: Mentor and co-lead our operations team, helping them prioritize tasks, meet deadlines, and deliver consistent performance that meets the highest standards of operations and execution excellence.
- Collaborative Leadership: Work closely with the Operations Manager and other Operations Team Leads to synchronize cross-departmental efforts, ensuring alignment with overarching company objectives and seamless operational integration.
- Operational Oversight: Manage and actively participate in the end-to-end operational process, including order processing, invoicing, client and vendor follow-ups, logistics coordination, and handling urgent or emergency requests, embodying a hands-on approach to all tasks.
- Client & Vendor Management: Build and maintain robust relationships with clients and vendors. Ensure timely communication and resolve inquiries or escalations efficiently, consistently exceeding service level agreements and elevating client satisfaction.
- Primary Responder: Act as the primary responder for urgent operational issues that may arise after hours and over weekends, demonstrating a high level of responsibility and reliability in managing unexpected challenges.
- Process Improvement: Monitor operational workflows and recommend improvements to streamline processes, increase efficiency, and ensure accurate execution of tasks that consistently exceed client needs.
- Reporting & Communication: Prepare and present reports on team performance, order status, logistics metrics, customer satisfaction, vendor performance, and invoicing timeliness and accuracy. Ensure clear communication across all teams and stakeholders.
- Vendor Managed Inventory (VMI): Oversee and ensure the smooth execution of vendor-managed inventory programs, coordinating between suppliers and internal teams to maintain appropriate stock levels and avoid disruptions.
- Travel: Occasional travel may be required for key client or vendor meetings and to manage critical projects.
Qualifications
- Leadership & Team Management: Proven experience in leading and managing teams, demonstrating diligence, empathy, energy, and a strong sense of responsibility.
- Flexibility: Demonstrated hardworking attitude and the flexibility to work outside standard hours, including evenings or weekends, as required to address urgent matters and meet critical deadlines.
- Industry Experience: Familiarity with sectors such as oil and gas, utilities, chemicals, consumables, digital enablement, and logistics is beneficial, along with strong skills in client and vendor relationship management, as well as expertise in supply chain management.
- Operational Expertise: Strong skills in managing order lifecycles, vendor coordination, logistics, and invoicing, with a keen eye for accuracy and detail in handling complex and urgent tasks.
- Crisis & Escalation Management: Experience in handling emergency situations and escalations with effective, timely solutions.
- Process Optimization: Ability to recommend and support process improvements to enhance operational efficiency and service delivery.
- Technologically Savvy & Quick Learner: Advanced skills in MS Office and familiarity with collaboration tools, sourcing and procurement platforms, ERP systems, and accounting software.
- Vendor Managed Inventory Knowledge: Understanding of VMI programs, adept at coordinating stock levels between vendors and internal teams.
- Communication & Multi-Tasking: Excellent communication skills with the ability to manage multiple priorities while demonstrating courtesy and a strong sense of duty.
- Proactive & Adaptable: A proactive and adaptable approach to problem-solving and team management, ensuring flexibility in response to changing priorities.
