Technical Assistants provide essential support to the entire Personal Lines unit, reviewing all documents received for accuracy, and processing for prompt delivery to the client. Of equal importance is maintaining the accuracy and completeness of our own records.
Responsibilities:
- Processing documents for all renewals, new business, and endorsements, including letters, invoices and summaries following FCA procedures, and in accordance with client-specific instructions provided
- Checking endorsements received for differences from original requests; consulting with Practice Specialists as required; returning incorrect documents to Insurers for re-issue.
- Updating Acturis applications to correspond to current policy terms (if no download received) and if necessary updating annual premiums on policy screens
- Tailoring letters/invoices/summaries appropriately, to draw clients' attention to changes or issues
- Adding appropriate payment follow-up dates for Producers/Practice Specialists; closing follow-ups once correct documents are received and processed
- Maintaining a minimum of 30 days' 'lead time' prior to expiry, in processing renewal documents received from Insurers, with a preferred lead time of 45 days where possible
- Prioritization of endorsement and new business documents received for processing
- Ensuring that system activities directed to you are kept up to date and that your additional comments and/or redirection are complete and accurate
- Following up with Insurers for outstanding renewals, producing late notification letters with liability certificates and/or binders for clients, if documents are not received and processed within 10 days of expiry.
- Following-up on outstanding endorsements and cancellations by sending second requests and contacting the Insurer if necessary.
- Responding to Lienholder/Lessor/Mortgagee requests for copies of insurance policies; where the TA holds a RIBO licence, issuing certificates of insurance if and as requested by Practice Specialists and/or manager
- Assisting other TA(s) with processing to avoid department back-logs
- Other duties and/or special projects as requested (may include, but not limited to, ordering MVR and other underwriting reports; responding to simple underwriting requests from Insurers as requested by Practice Specialists, using information on file or by writing to Insureds to request information)
- Co-operation with other department members for other duties, as needed, including checking desks for co-workers who are absent, sharing work for absentees, and cooperating on scheduling (breaks, lunches, planned absences, arrival and departure times) to ensure adequate staffing levels
- Contribution to and maintenance of the professional atmosphere and appearance of the office
- Nurturing positive, respectful and collaborative relationships with all other FCA staff
- Fostering positive, productive relationships with Insurers
- Commitment to and continuing participation in formal and informal training. This is a 'training position' and TA's should make use of any opportunities to acquaint themselves with any and all resources
- Full participation in the team effort to continuously improve all aspects of production and customer service
- Diligent observation of and respect for RIBO Code of Conduct, FCA Privacy policy and other FCA procedures in place, in all aspects of professional conduct
Qualifications:
- Post graduate program in insurance management is an asset
- Experience with Acturis is required
- Excellent communication and interpersonal skills
- Existing knowledge of insurance products, industry regulations and underwriting processes is an asset
- Proficient in Microsoft Office
Terms of Employment: Full time, Contract
Hours per week: 35
