Action Towing & Automotive is hiring for an Office Manager to join our company!

At Action Towing & Automotive, our motto is “We Move Anything, Anywhere”. We are a family business offering comprehensive automotive and transportation services to both small and large organizations. Since our establishment in 1998, we’ve grown into one of the largest heavy equipment recovery and transportation companies in Eastern Ontario. Our services include heavy vehicle recovery, vehicle and equipment hauling, and general vehicle maintenance and repair for all vehicles from personal cars and trucks to heavy trucks and buses. We are also an Ontario-accredited Drive Clean test and repair facility for heavy trucks and cars, and an MTO safety inspection station for cars, trucks trailers, and buses.

We’re currently looking for an Office Manager to oversee daily office operations and administration, while maintaining high levels of efficiency.

 

As our Office Manager, you will:

  • Oversee daily dispatch operations efficiently and effectively, ensuring all service requests are routed to the corresponding staff
  • Maintain accurate and easily accessible scheduling for drivers and service personnel, ensure schedules are adhered to
  • Assign work to other office support staff, and supervise their work and performance
  • Follow up with the relevant staff to resolve customer inquiries as needed
  • Develop and maintain administrative policies and procedures to streamline internal office operations and external general communications
  • Act as the first point of contact for customers, dispatchers, drivers, and vendors for inquiries, pricing quotes, schedule entry, and customer service assistance
  • Assist with sorting and responding to incoming correspondence and drafting outgoing correspondence
  • Create document templates for future use
  • Track and approve expense reports for drivers and other staff
  • Conduct basic bookkeeping and work with external accountants to implement and maintain company financial policies as related to office expenses and reimbursements
  • Keep accurate and update logs of company equipment and supplies, review parts/equipment/supplies requisitions with service managers on a routine basis, place orders and plan for future purchases
  • Organize and maintain physical and digital records of the company’s operations and customer database
  • Track staff performance and review performance efficiency KPIs with their supervising managers
  • Ensure smooth office operations and contribute to an open and friendly work environment

 

We’re looking for:

  • 8 or more years of work experience in office management or administration
  • Secondary school diploma or higher
  • Able to use Microsoft Office software, including Word, Excel, PowerPoint, and Outlook
  • Familiar with basic bookkeeping, billing, and payments
  • Able to coordinate with multiple relevant personnel, including customers, staff, and vendors
  • Exceptionally organized and able to prioritize and oversee the progress of multiple simultaneous projects
  • Able to take initiative to improve office and operational efficiencies
  • Excellent attention to detail and time management skills, able to keep organized even in a fast-paced work environment
  • Able to multi-task and handle a variety of tasks and responsibilities
  • Able to manage an efficient and well-organized office with minimal supervision

 

This position will offer:

The Office Manager position is a full-time and permanent position, offered at $52,700 per year. You will be working 37.5 hours per week out of our office at 9 Douglas Road, Trenton, ON K8V 6R9.
