As the Executive Assistant, you will report directly to the Assistant Deputy Ministers (ADM) of Policy, Planning and Regulation Division and the Executive Director (ED) of Corporate Services Division. You will be an integral member of the Deputy Minister’s office, working closely with executive managers, representing the ADM and ED’s Office on inter-branch projects in the ministry as well as inter-ministry committee projects and play a lead role in delivery of the Ministry's Strategic Plan.

In this key role, you will draft and review internal and public documents and manage various corporate projects on behalf of the ADM and ED. You will prepare and review meeting agendas, minutes, briefing material, reports and administrative issues and provide advice to the ADM and ED on complex corporate and division issues, both technical and policy related.

Our ideal candidate would typically have (any or a combination of) relevant experience, a degree in public administration, project management, public policy, or an equivalent combination of education and experience.

In this role, you will have knowledge of or provide the following services:

  • Manage and coordinate emerging issues and general inquiries on behalf of the ministry related to division issues;
  • Determine the priority and action required on internal and external materials directed to the ADM and ED, directly or through the Deputy Minister’s Office;
  • Plan and coordinate ADM and ED calendar and scheduling;
  • Plan and participate in meetings by developing agendas, recording minutes, assisting with appropriate follow up and ensuring that administration of decision items are complete and approved by the ADM and ED;
  • Participate in Executive and Senior Leadership meetings, which involves discussion in the planning and delivery of sensitive and confidential Human Resources, policy, budgetary and program delivery issues;
  • Policy development processes;
  • Government protocols including decision making and work flow processes; and
  • Intergovernmental relations.
