OnSite Coordinator


YouQuest Young Onset Dementia Association

Activities include but are not limited to the following:

1. Collaborate with Recreation Therapists and Volunteer Coordinator 

  • Collaborate with Recreation Therapy team and Volunteer Coordinator for required volunteer resources and related system development 
  • Ensure Volunteer Coordinator is aware of onsite activities for volunteers and participants 
  • Support the daily forecast of activities with required resources, including booking venue, securing tickets/passes for participants/volunteers, and service providers (transportation, food providers, etc.) 
  • Update the Volunteer Portal with the daily forecast of activities so all contractors and volunteers are informed of upcoming events 
  • Ensure all supplies are provided for the day (e.g. coffee, tea, meals, menus, snacks) 
  • Ensure room is set up prior to service day start, and complete room takedown 
  • Participate directly in YouQuest activities with participants 
  • Code and approve expenses for accountant within their deadlines 

2. Collaborate with Executive Director

  • Collaborate with Executive Director to design and execute operating plans for quality service delivery and growth 
  • Provide input to the Executive Director on service delivery improvements and participant feedback 

3. Stakeholder/Relationship Management 

  • Build and maintain strong relationships with host site representatives, service providers and families 
  • Prepare and send save the date/invitations for service days and special events 
  • Prepare and send a weekly summary of service day highlights to all stakeholders and engages with all contractors to create a bi-annual or quarterly newsletter 
  • Post information to social media accounts as appropriate 
  • Understands, communicates and upholds all YouQuest and host facility policies and procedures 
  • Ensure all staff and volunteers follow YouQuest and host facility safety and insurance requirements 
  • Update documents (e.g. Volunteer Handbook) in collaboration with the Volunteer Coordinator 
  • Ongoing communication and evaluation of volunteers to ensure delivery of YouQuest services standards and planned outcomes are realized.  
  • Represent YouQuest at social events, meetings, donor events and guest speaker opportunities as appropriate 


  • Bachelor of Arts Degree (or equivalent) 
  • Personal experience or educational training with dementia is an asset 
  • 3-5 years project management, events management or equivalent 
  • Experience writing for grants, maintaining documentation and completing reports is an asset 
  • Ability to effectively communicate and work with a variety of stakeholders (Participants, Care Partners, Contractors, Vendors, Donors, Community Members, etc.) 
  • Can manage confidential information and follow policies and procedures relevant to sensitive information 
  • Proficient with technology (Microsoft Suite, Database Experience, Websites, etc.)
