Experiences and skills:

  • At least a completion of a one- or two-year college or other programs for administrative assistants or secretaries.
  • Excellent communication skills both written and oral.
  • Excellent organizational skills – detail-oriented with the ability to perform multiple tasks simultaneously.
  • 1-year relevant experience as an Administrative Assistant
  • Strong computer skills in MS Word, MS Outlook, and MS Excel
  • Must be able to work well in a fast-paced team environment
  • Must be able to legally work in Canada
  • Bilingual is an asset
  • Highly self-motivated
  • Focus on details

Job Responsibilities:

  • Answer, screen and transfer inbound phone calls to the corresponding department
  • Prepare and edit and initial consultation agreement, receipts/invoice, presentations, brochures/flyers, publications, reports and related material from machine dictation and handwritten copy
  • General administration duties including photocopying, scanning, printing and mailing
  • Schedule and coordinate meetings, appointments and travel arrangements for managers
  • Greet visitors, ascertain nature of business and direct visitors to appropriate person
  • Maintain office supplies by checking inventory and order items
  • Coordinate maintenance of office equipment
  • Distribute regular incoming mail and other material and coordinate the flow of information internally with other departments
  • Determine and establish office procedures
  • Respond to questions and requests for information
  • Maintain confidential records and files in order
  • Translate immigration documents and news as required
  • Arrange business travel schedules and make reservations
