Office/Operational Manager
We are currently looking for a highly organized, resourceful and self-motivated candidate to work directly with our management team and staff in a variety of capacities to support our workflow, enhance our office environment, and take the company to the next level.
In this multifaceted position you will utilize your previous professional experiences, your passion and commitment to organizing and managing daily operations of a 10 - 15 person mapping Technology Company. Your role is to use your substantial leadership skills to take the initiative to create a productive and efficient environment by implementing people friendly processes and systems. Roles and Responsibility (including but not limited to):
Corporate and Executive Support
o Review, update and maintain corporate polices as directed by management
o Support President in ongoing requirements
o Implement file system and maintain file of corporate, financial and project documents as requested
o Provide support on financial planning, budgeting, bookkeeping (QuickBooks) and expenses
o Provide input on management decisions
Infrastructure Support
o Provide support on acquiring and logistical maintaining of equipment, software, hardware and other items
o Create inventory system of corporate items
o Coordinate and carry design and implementation of new office space
Office
o Support, maintain and train on office telephone system
o Answer and direct calls as required
o Support and maintain office security systems
o Maintain office electronic folders and document management system
o Implement appropriate services to maintain a healthy work environment
o Implement a workplace health and safety plan
o Plan and implement social events
Human Resources
o Support and implement HR policies
o Manage timesheet system and ensure staff are appropriately trained
o Prepare new employee package and educate new staff on corporate procedures and processes
o Work with staff to keep them updated on all systems, policies, etc. and communicate back to management on needs and issues
o Prepare employment contracts
o Assist in coordinating and conducting interviews
o Ensure CV's and bios are updated, standardized and maintained for all staff
o Assist in evaluating staff benefits plan
Business and Project Support
o Assist with coordinating calendar appointments including meetings, reminders, etc. and boardroom bookings
o Provide communication support by reviewing documents, marketing initiatives and web content
o Provide financial support including planning, budgeting and bookkeeping
o Provide client meeting support and other assistance as required
o Conduct time sheet reviews as directed by management
o Implement and maintain corporate CRM for business contacts, follow-ups and documentation
o Maintain corporate electronic library system
